Job Summary
The Office Supervisor plays a pivotal role in ensuring the smooth operation of KHG at their designated site. As the primary point of contact, the Office Supervisor is responsible for overseeing all aspects of site operations, ensuring that our housekeeping specialists meet the highest standards of service, and that all tasks are completed efficiently and effectively.
Key Duties and Responsibilities
Office Management:
- Take full responsibility for all activities and operations in the assigned office.
- Ensure that all tasks are performed to the company’s high standards, addressing any issues orconcerns promptly.
- Monitor the performance of housekeeping staff, providing guidance and support as needed.
Team Leadership
- Host regular power meetings with the housekeeping team to align on goals, expectations, and any site-specific requirements.
- Manage team schedules, including timekeeping and attendance, to ensure optimal staffing levels.
- Foster a positive and productive working environment, encouraging teamwork and continuous improvement.
Inventory and Procurement
- Oversee the inventory of cleaning equipment and products, ensuring that all necessary supplies are available and in good condition.
- Coordinate the procurement of supplies as needed, working within budgetary constraints and company guidelines.
- Conduct regular audits of inventory levels and manage stock control to prevent shortages or overstocking.
Operational Support
- Assist with operational tasks as needed, including handling customer requests, resolving issues, and ensuring compliance with company policies and procedures.
- Collaborate with Operations and other departments to address any site-specific challenges and improve service delivery.
- Oversee the implementation of new processes and procedures, ensuring that all team members are adequately trained and equipped.
Quality Assurance
- Conduct regular site inspections to ensure that all work meets the company’s high standards and client expectations.
- Address any performance issues with team members, providing coaching or additional training as required.
- Implement corrective actions to resolve any quality concerns and prevent future occurrences.
Qualifications
- Bachelor’s Degree in a Management related field preferred.
- Proven experience in a supervisory or leadership role, preferably in the cleaning or hospitality industry.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Preferred proficiency in inventory management and procurement processes.
- Ability to work independently and make decisions in a fast-paced environment.
- Attention to detail and commitment to maintaining high standards.
Grooming Etiquette
Professional Appearance:
- Maintain a clean, neat, and professional appearance at all times.
- Wear the company uniform (as applicable), ensuring it is clean, pressed, and in good condition.
- Keep hair clean and well-groomed; long hair should be tied back neatly.
- Fingernails should be clean, trimmed, and well-maintained.
Personal Hygiene
- Practice good personal hygiene by showering regularly and using deodorant.
- Ensure breath is fresh by brushing teeth regularly and using mouthwash if necessary.
- Avoid strong perfumes or colognes that could be overpowering or cause allergies.
Working Conditions
- This is a part time leading to full-time position, primarily Monday to Friday, with occasional Saturdays as required by the schedule.
- The role may require regular physical activity, including walking, standing, and occasional lifting of supplies and equipment
